Appendix 1: Overview
Part 1: Purpose: This article contains the Bylaws of the IEEE Student Branch of KMCTCE, Manassery, Calicut.
Part 2: Scope: Bylaws specifies the constitution that the branch must follow. Any acts which contradict the Bylaws will be considered invalid.
Part 3: Authority: The Constitution aids the Execom committee of the branch to govern the operations of the branch in an efficient way.
Part 4: Amendment: The Branch Bylaws must be altered and resolved by a two-third (2/3) majority vote of the executive committee of office bearers and Execom.
Part 5: The branch Bylaws can be redefined under the agreement of two-third (2/3) majority of the Execom committee and general body members.
Appendix 2: Election of officers
Part 1: The election of officers to the Execom of the branch will be conducted at the Annual General body Meeting (AGM) of the branch, preferably in the first week of January.
Part 2: Student Branch officers consists of Chairperson, Vice-chairperson, Secretary, Joint secretary, Treasurer, Joint treasurer (Optional: may be Chairperson himselves), PRO and LINK Representative (in accordance with the IEEE Kerala Section Constitution). Any more posts can be added according to the request of General body. In addition to this, there will be executive members from each year representing all years.
Part 3: The present office bearers shall nominate members for the next Execom during the AGM.. The newly elected Execom must stand only for the well-being of the IEEE Student Branch, like and more than their former had done
Part 4: The Execom election shall be done by open voting or by Ballet voting if tight competition exists. The ballet voting and concerned matters will be handled by the Branch Counselor and Mentor together.
Part 5: The newly proposed Execom can be the older one also; here the matter of concern will be the prosperity of the Branch. More preference will be given to new ones.
Part 6: In addition to these, Branch website administrator, IEEE Branch Group Mailer posts could also be decided at the time of AGM.
Part 7: The Post of Joint Treasurer and LINK representative to be taken up by a third year or final year student.
Part 10: The IEEE student branch assets like the offices and store room key along with the key to the notice board should be passed on to the new Execom.
Part 11: The nomination to the post of hub driver goes to the present link representative, and then he/she shall not contest in the election of the office bearer for that year.
Appendix 3 – Involvement of other organizations in activities
Joint activities with other organizations will be encouraged if the conditions below are satisfied.
Condi. 1: The participating organizations shall contribute equally to the event and responsibilities of success or failure of the event lies with all the bodies equally.
Condi. 2: The publicity, planning’s and reports shall mention all the organizations taking part in the joint venture with equal importance.
Condi. 3: Financial as well as technical support must be divided equally without discriminations based on any respects.
Condi. 4: All the bodies should work as a single body within their limitations to make the event a successful one.
Appendix 4: Finance
Part 1: The IEEE Account will be handled by the Student Branch Counselor, Treasurer, and Joint Treasurer (in his absence the Chairman Himselves).
Part 2: Any movement of money into or out of the Account may be done after discussion with secretary, PRO, and the Branch Counselor or mentor in the case of large amounts.
Part 3: The treasurer has the responsibility of keeping some money by hand to meet the needs of the Student branch. The treasurer shall keep Account books, Bills, Vouchers of expenses and shall do the Auditing work after every event with the help of Joint Treasurer.
Part 4: Auditing of the entire IEEE Account activities for an year can be done at the end of the year, with the help of a reliable auditor, preferably a faculty not associated with the student Branch.
