IEEE Upgrade on 10 August 2019

On, 10 August 2019, IEEE is upgrading a number of Web sites and systems to bring you enhanced capabilities and an improved experience.

Starting Saturday, 10 August from 06:00 AM EDT (10:00 UTC-04) to Saturday, 10 August 3:00 p.m. EDT (19:00 UTC-4), the following functions will not be available: IEEE Shop, join and renew IEEE and IEEE societies, article purchasing on IEEE Xplore and some vTools applications. If you need assistance during this time, please direct your inquiry to the IEEE Support Center

Please note that due to this upgrade parts of the vTools will be inaccessible between Saturday 10 August, starting at 6:00 p.m.(10:00 UTC-4) through 3:00 p.m. (19:00 UTC-4):

vTools.Events
– there will be no ability to validate member numbers for discounted price levels during registration

vTools.eNotice
– There will be no ability to select target organizations
– There will be no ability to send express eNotices
– Create, updated and save eNotice will be available

vTools.WebInABox
– there will be no ability to create new or modify existing sites
– “Officers” and “Other units” pages will not show any officer or unit data

vTools.Voting
– there will be no ability to create new or modify existing ballots
– Voters should still be able to vote in open elections

vTools.OfficerReporting will not be available

WebEx will not be impacted

vTools.StudentBranchReporting
-There will be no ability to create new or modify existing annual plans
-Volunteers can view and download submitted plans

vTools.Xtreme Registration
-There will be no ability to create new or modify existing team registrations
-There will be no ability to create new or modify existing proctor registrations
–There will be no ability to confirm/decline team registration

vTools.Xtreme version 3.5.0 has been released – 1 August 2019

The following enhancements are included in version 3.5.0:

  • Proctor Registration option – student branch officers may pre-register to proctor and will select a school they are available to proctor.  Email confirmation of proctor registration will be sent to the user.
  • Team Registration includes available proctors – when selecting a school, a list of proctors will be shown for any proctors who have pre-registered.
  • Team Registration School selection – a list of schools for the user creating the team will be shown as well as a entry of school name.
  • Xtreme was updated to the latest version of Ruby on Rails.

vTools.Voting version 2.2 has been released – 25 June 2019

The following enhancements are available:

  • Voting emails will now be sent through the third party email vendor (Higher Logic) to the voters.  With this enhancement, email content in non-English will be maintained as Higher Logic supports multi-character languages.
  • Active Ballots – Volunteers will have a ‘Manage’ option where all options will be centrally located to allow them to monitor their live elections.
  • Ballot form includes notation as to what fields are required
  • Contact Staff option – users will have the ability to submit a contact form directly from vTools Voting. ReCAPTCHA is provided if the user is not authenticated.
  • Voting has been upgraded to the next Ruby on Rails version

vTools Events v6.9 has been released – 25 June 2019

The following enhancements have been deployed:

  • Provide support for Other OUs – Standards Working Groups can create, manage events with registration and/or payments
  • Search has been enhanced to provide the organization units using a vTools web service.   The list of organizations (Region, Section, Organizational unit) will include the specific organizational unit ID (ie. R10329)
  • Search – users can enter a specific organizational unit ID (ie. R10329) to find events
  • Events Terms and Conditions collection –  Volunteers can select to include/not include the collection of Event Terms and Conditions during the registration process.  By default every event with registration will include this page prior to completing the registration form. Upon consent the user will be presented with the registration form. Registration confirmations include notice of inclusion of events terms and conditions .
  • Total Amount – prior to payment, the registration form will indicate the total mount due for all registrations .
  • Registration – ReCAPTCHA has been disabled if the user has signed in.
  • Contact Staff option – users will have the ability to submit a contact form directly from vTools Events.   ReCAPTCHA is provided if the user is not authenticated.
  • Events has been upgraded to the next Ruby on Rails version

IEEE IT will be validating several components of the disaster recovery program for several systems: Siebel, Oracle Financials, Concentration Banking and Automic.

During the Disaster Recovery Testing, the following applications will be unavailable or affected as detailed below between 7:00am EDT on Saturday, May 18th – 7:00pm EDT on Saturday, May 18th.

Please note that due to this testing parts of the vTools will be inaccessible from 7:00am EDT to 7:00pm EDT, Saturday 18 May 2019:

Between 8 a.m. Eastern Time (ET) on Saturday, 27 April, and 2 p.m. ET on Saturday, 27 April 2019 the eNotice email service provider is performing scheduled maintenance.

Starting Saturday, 27 April from 8:00 a.m. ET (Saturday, 27 April at 12:00 UTC-04) to Saturday, 27 April 2:00p.m. ET (Saturday, 27 April, at 18:00 UTC-04) , the following functions will not be available in eNotice:

–  All express eNotices will be queued for delivery during the upgrade.
– Once upgrade is complete, all express eNotices will be delivered.

What eNotices will be included in RSS feeds?

The RSS feed will only include eNotices that have been sent explicitly to a specific organizational unit .

Only eNotices that have been sent, and are not set as private, will appear in public feeds.

What content will be included in RSS feeds?

The RSS feed will include the title based on the subject of an eNotice , a link to preview an eNotice ‘s content based on the first 50 characters.

How do I construct an RSS Feed and include in external sites?

An atom feed can be accessed to produce a list of eNotices for one or more organizational units.

The URL for a specific organizational unit is:

http://enotice.vtools.ieee.org/public/feed.atom?org_unit=SPOID

where SPOID is the SPO ID for the organizational unit.

Multiple organizational units can also be included:

http://enotice.vtools.ieee.org/public/feed.atom?org_unit=SPOID1,SPOID2,SPOID3
