IEEE Upgrade on 5 September 2018

On Wednesday, 5 September IEEE is upgrading a number of Web sites and systems to bring you enhanced capabilities and an improved experience.

Starting Wednesday, 5 September from 07:00 PM EDT (23:00 UTC-04) to Wednesday, 5 September 10:00 p.m. EDT (02:00 UTC-4), the following functions will not be available: IEEE Shop, join and renew IEEE and IEEE societies, myIEEE, article purchasing on IEEE Xplore and some vTools applications. If you need assistance during this time, please direct your inquiry to the IEEE Support Center

Please note that due to this upgrade parts of the vTools will be inaccessible between Wednesday 5 September, starting at 7:00 p.m.(23:00 UTC-4) through 10:00 p.m. (02:00 UTC-4):

vTools.Events
– there will be no ability to validate member numbers for discounted price levels during registration

vTools.eNotice
– There will be no ability to create new or modify existing eNotices. There will be no ability to send express eNotices.
– There will be no ability to upload attachments

vTools.WebInABox
– there will be no ability to create new or modify existing sites
– “Officers” and “Other units” pages will not show any officer or unit data

vTools.Voting
– there will be no ability to create new or modify existing ballots
– voters should still be able to vote in open elections

vTools.OfficerReporting will not be available

WebEx will not be impacted

vTools.StudentBranchReporting will not be impacted

ReviewRoom will not be impacted

Want to know who has access to vTools?

The current security model automatically allows use of the tools by any volunteer who appears on the organizational roster. Volunteers can create meetings/events, WebInABox sites, run elections, etc., while members and in many cases general public can view meeting/event information, visit WebInABox sites, etc.
Volunteers should use their IEEE web account username and password to login. If you do not recall your Web Account information, you may go to: http://www.ieee.org/web/accounts to recover your username or password online.

vTools.Officer Reporting version 2.0 has been released

On 05 April 2017 Officer Reporting version 2.0 was released.

Officer Reporting 2.0 introduces the following usability and interface enhancements :

  • Officer Reporting has a new look and feel. It is fully responsive to mobile devices
  • This new, more intuitive look and feel, provides new features and enhancements which include:
    – A new Home page design
    – New option to manage an organizational unit (OU) URL
    – Enhanced organizational unit selection
    – More help text

eNotice Access – List of volunteer positions that have access to eNotice automatically

To use eNotice online web application, you must be an officer of the geo organizational unit to which you want to send notices.  If you are an officer of the organizational unit and your information does not appear in the online rosters, then please submit your officer information to http://officers.vtools.ieee.org. If your officer position does not appear in the online rosters, then approval from the appropriate officers would be required.

Note access to online roster is limited to current officers.

Access is automatically granted for the following positions:

  • Chair
  • Vice Chair
  • Secretary
  • Treasurer
  • Secretary/Treasurer
  • Newsletter editor
  • Webmaster
  • SAMIEEE Recipient
  • Membership Development Chair
  • Region Director
  • Chapter Chair, Vice Chair, Secretary, Treasurer
  • Affinity Group Chair, Vice Chair, Secretary, Treasurer
  • Council Chair

Who can access vTools?

We often get asked question “Who can access vTools?”. We updated our FAQ with the answer, but also wanted to add a blog post as well.

The current security model automatically allows use of the tools by any volunteer who appears on the organizational roster.  Volunteers can create meetings/events, WebInABox sites, run elections, etc., while members and in many cases general public can view meeting/event information, visit WebInABox sites, etc.

Volunteers should use their IEEE web account username and password to login. If you do not recall your Web Account information, you may go to: http://www.ieee.org/web/accounts to recover your username or password online.

To verify who is listed on the section roster please see this page: https://www.ieee.org/about/volunteers/rosters.html (access is limited to current officers). Please note that per vTools team request, IEEE now records more positions for Chapter and Affinity Group officers: Chair, Vice Chair, Secretary, Treasurer.  For more information regarding reporting officers, please view Operations- Reporting – Officer forms on https://mga.ieee.org

Please note that according to IEEE Bylaws (http://www.ieee.org/documents/section09_24jul09.pdf section 9.6 part D) all officers (with exception of webmaster and newsletter editor) shall be active IEEE members in Graduate Student Member, Member, Senior Member or Fellow grade.   Chapter officers shall also be members of the parent Society.

In addition Sections can now report vTools Coordinator position (please note that it has the same grade restrictions as mentioned above).

Please note Student Branch Officers (Chair, Advisor, Counselor) can submit and view the local activity reports (L31) as well as.
